T-shirt supplier brief and quotation checklist
Give each supplier the same controlled specification so price and delivery differences have meaning.

Create the garment schedule
List the preferred garment or required fabric, fit, colour and quantity for every size. State acceptable alternatives and whether sizes must remain available for later repeat orders.
Prepare artwork and positions
Supply the requested file format and record the finished width, position, colours and any personalisation. Keep the editable master and identify fonts and linked assets.
Request proof and sample decisions
Agree whether approval uses a digital proof, decorated sample or pre-production item. Record the approved version and explain how later changes affect price and timing.
Compare totals and terms
Include setup, screens, embroidery files, samples, delivery, tax, reprints and repeat-order charges. Confirm the production lead time starts from a named event such as payment and proof approval.
